Highlights of the role
We are seeking a highly skilled and proactive Executive Assistant to support the Executive Vice President, Commercial Projects & Operations, and the Executive Vice President, Commercial Development. This high-visibility role requires exceptional judgment, organization, and communication skills.
As a trusted partner to the EVP offices, you will ensure seamless operations—anticipating needs, managing complex priorities, and driving execution of key deliverables while supporting strategic initiatives across North American Commercial Services (NACS).
What you’ll be responsible for
Executive Support & Coordination
- Provide high‑quality, confidential support to the EVPs with professionalism and accuracy.
- Manage dynamic executive calendars, prioritize competing demands, and coordinate travel.
- Process expenses promptly.
- Prepare and maintain annual NACS calendars and deliverables.
Meetings & Communication
- Organize monthly NACS Leadership meetings, prepare agendas, compile materials, and manage logistics.
- Track, proof, and format Leadership Council and President’s reporting.
- Coordinate quarterly Board and Committee reporting and ensure Corporate alignment.
- Support logistics for Board and Committee tours at NACS sites.
Project & Operations Support
- Manage organization-wide events and recognition programs.
- Coordinate executive and Board site visits.
- Support internal NACS working groups and teams.
- Maintain the NACS SharePoint site.
People, Culture & Change Support
- Coordinate onboarding, office moves, and organizational change activities.
- Partner with the EA community, offering mentorship and supporting succession development.
- Model a collaborative, innovative, safety-focused, high-performance mindset.
What’s required to be successful
- Minimum of 5 years of experience supporting C‑suite or senior leadership.
- Post‑secondary diploma or administrative certification.
- Advanced proficiency in MS Office Suite, Oracle, and SharePoint.
- Exceptional written and verbal communication skills.
- Strong prioritization, multitasking, and organizational abilities.
- Sound judgment, professionalism, and confidentiality.
- Strong interpersonal, collaborative, and relationship‑building skills.
- Analytical, detail‑oriented, adaptable, and solutions‑focused approach.
